Introduction

This privacy policy will explain how White Horse Plastics (‘WHP’, ‘Us’, ‘We’) uses the personal data we collect from you when you use our website or contact us.  Any information you provide to us will only be used in accordance with this privacy statement.

 

Collection of Data

Data we collect will include personal identification information such as name, email address, phone number and addresses.  We will also collect key information such as job title, demographic information and other data that is critical to providing the product or service to you.

You directly provide WHP with most of the data we collect.  We collect and process data when you place an enquiry or order for our products and services, complete a contact form on our websites, or contact us through social media messaging methods.  Information is also collected when you use or view our website via your browser’s cookies.

Usage of data

We collect your data so that we can process your order or manage your account to enable us to provide you with products or services.  If you agree, WHP will share your data with our chosen partner companies as part of providing the services, such as third-party toolmakers and engineering suppliers.  Your data will then adhere to that company’s privacy policy; however, we will require that they do not use your data for their own personal or business use without your approval.

Storage of Data

We securely store your data at our onsite and cloud-based servers, both of which are protected with enterprise grade security firewalls.  For paper/hardcopy instances of personal data, this is held within a secure office environment.  We will keep your data on record for the duration of providing the products or services, after which data is held based upon our retention processes.  Once this time period has expired, we will delete your data by permanently removing this from our server(s).  If you choose to take our products or services in the future, we will require you to provide all the necessary information to be able to offer these again.

Marketing/Research

We would like to send you information about products and services of ours that we think you might like.  If you have agreed to receive marketing, you may always opt out at a later date.  Research will include customer feedback requests as part of our quality accreditation requirements.  You have the right at any time to stop WHP from contacting you for marketing or research purposes.  If you no longer wish to be contacted for marketing purposes, please contact us and our data controller will update your record.

Your data protection rights

We would like to make sure you are fully aware of all your data protection rights.  Every user is entitled to the following access, rectification, erasure or processing or restriction of their data.

  • You have the right to request copies of your personal data. We may charge you a small fee for this service.
  • You have the right to request that WHP correct any information you believe is inaccurate. You also have the right to request WHP complete information you believe is incomplete.
  • You have the right to request that WHP erase your personal data, under certain conditions.
  • You have the right to request that WHP restrict the processing of your personal data, under certain conditions.
  • You have the right to object to WHP’s processing of your personal data, under certain conditions.
  • You have the right to request that WHP transfer the data that we have collected to another organisation or directly to you, under certain conditions.

Call Recording and Voice mail

When you leave a message using our voicemail or telephone the message is recorded.  We collect both the recording of the conversation and your telephone number.  These recordings are then stored within a secure Telco UK-based server, and emailed to mailbox of the intended recipient of the call.  Recordings are only taken when the voicemail message is left by the caller or the active telephone call is manually recorded.  Active calls are recorded for the following reasons:

  • To assist investigation into a complaint or problem with our product or services
  • To assist and keep record on technical or engineering consultancy during development or project planning
  • To assist with any other quality or project based enquiry relevant to us offering a product or service to you

Under each of these scenarios, you will be informed prior to the recording starting during that active call and you will have the option to object to this.  We will never share the recording with anyone outside of WHP without your prior consent.  Any recordings will be retained for up to 12 months on the Telco server, and up to 30 days after deletion on the recipient’s mailbox.  Both retention methods are secure and protected by enterprise grade security firewalls.  You can request for any recording to be deleted prior to the standard retention period by contacted us with your request via the methods below.
